Shared Inboxes for Small Businesses: YAFOY Business vs SleekFlow, Trengo, Respond.io, Front and Missive
WhatsApp, Instagram, Messenger and email in one team inbox. How YAFOY Business, SleekFlow, Trengo, Respond.io, Front, Missive and Meta Business Suite compare on channels, team size and price.

It's 7:40 on a Saturday morning, and the bakery has three conversations going at once. A customer on WhatsApp wants two dozen croissants for a 10 a.m. brunch. Someone on Instagram is asking whether the lemon tart is gluten-free. And an email from a caterer about a wedding order has been sitting unanswered since Thursday, because it went to the owner's Gmail and the owner was at the market.
Nobody did anything wrong. The messages simply arrived in three different apps, on two different phones, and nobody could see all of them at once.
This is the problem a shared inbox solves: every customer message, from every channel, in one place the whole team can see, with a clear answer to "who's handling this?" There are now several tools that do it. They differ a lot in which channels they cover, how big a team they're built for, and what they cost.
What a small business actually needs
Before comparing tools, it helps to be clear about the job. For a shop, restaurant, salon, clinic or small online store, a shared inbox has to do five things well:
- Cover the channels your customers actually use. For most small businesses that means WhatsApp and Instagram first, then Facebook Messenger and email.
- Let several people work without stepping on each other. Everyone sees the same conversations, and it's obvious who owns each one.
- Keep the customer's history together. If someone emailed last month and messages on WhatsApp today, you shouldn't have to search two apps.
- Work on a phone. Owners of small businesses answer between customers, not at a desk.
- Cost what a small business can pay. A tool priced for a 50-person support team isn't a tool for a five-person shop.
With that in mind, here's how the main options compare.
Meta Business Suite: free, and limited to Meta
Meta's own Business Suite includes an inbox for Facebook, Messenger and Instagram, and it's free. Conversations can be assigned to team members, and you can set basic automated replies. For a business that lives entirely on Instagram and Facebook, it's a sensible place to start.
Its limits show up quickly as a business grows: there's no email, WhatsApp support is only partial, automation is basic, and reporting doesn't compare channels in depth.
SleekFlow: the closest all-in-one
SleekFlow is the most direct comparison to YAFOY Business. It connects WhatsApp, Instagram, Messenger, Gmail and Outlook, plus SMS, Telegram, LINE and others, in one team inbox, with automation and an AI agent on its higher plans.
Its entry plan, Essential, is listed at $49 a month on yearly billing for three seats and up to five channels. There's a seven-day trial with no card required. Pricing also depends on monthly active contacts, so a busy month can push a business toward a bigger plan.
Trengo: built for larger teams
Trengo covers email, WhatsApp, Instagram and Facebook in one inbox, with automation and AI. It's a polished product, priced for established support teams: the Boost plan is €299 a month on annual billing for 10 users and 500 conversations a month, and AI-handled conversations carry a surcharge of about €0.25–0.30 each.
Respond.io: chat-first and automation-heavy
Respond.io is built around messaging apps (WhatsApp, Instagram, Facebook, TikTok) with strong automation and AI. Its Starter plan is reported at $79 a month on yearly billing for five users, with pricing that also scales by monthly active contacts. If email is central to your business, check how well it fits before committing.
Front and Missive: email-first team inboxes
Front and Missive began as shared email inboxes and added chat channels later. Both are excellent at email.
- Front is priced per seat: Starter is reported at $25 per seat per month on annual billing and supports one channel type. Native WhatsApp comes with the Professional plan, at $65 per seat. Its AI assistant is an add-on.
- Missive is also priced per user: Starter is reported at $14 per user per month on annual billing for up to five users, and its rules, AI assistant and integrations start on the Productive plan at $24 per user.
Per-seat pricing is reasonable for a team of two. It adds up quickly at five.
YAFOY Business: the whole team, at a small-business price
YAFOY Business brings WhatsApp, Instagram, Messenger, Gmail, Outlook and other email accounts into shared mailboxes your whole team can work from, on iPhone, Android and the web.
It's priced per workspace, not per seat:
- Starter, $29 a month ($290 a year): up to 5 teammates and 2 shared mailboxes.
- Team, $79 a month ($790 a year): up to 10 teammates, unlimited shared mailboxes, and Business Insight, a daily read on new conversations, waiting customers and what people are asking about.
- Growth, $149 a month ($1,490 a year): up to 25 teammates, unlimited shared mailboxes, Business Insight, customer cards that keep each customer's details and history in one place, and priority support.
For the bakery, Starter covers it: five people on one account, with WhatsApp and Instagram as the two shared mailboxes. When the caterer's email needs a home too, Team adds unlimited mailboxes and the daily Insight.
The trade-off: YAFOY Business is newer than the established platforms, and if you need advanced automation flows, a website chatbot builder or dozens of channels today, SleekFlow, Trengo or Respond.io go further.

Which should you choose?
- You only sell through Instagram and Facebook: start with Meta Business Suite. It's free.
- Your team is mostly answering email: Front or Missive.
- You need heavy automation, chatbots and many channels: SleekFlow, Respond.io or Trengo.
- You're a small team on WhatsApp, Instagram and email, and you want everyone on one account without paying per seat: YAFOY Business.
Back to Saturday morning
With one shared inbox, the croissant order, the gluten-free question and the caterer's email all show up in the same list. The baker takes the WhatsApp order, the person at the counter answers Instagram, and the caterer gets a reply before noon instead of on Monday. Nothing about the bakery changed except where the messages land.
