How to Manage Slack and Teams Without Living in Them

Work chat was supposed to replace email overload. Instead, many of us live in it. How to stay responsive in Slack and Teams without being always on.

It's 10 a.m. and you've already been in Slack for two hours. Not working, exactly. Just... being there. Reading channels, reacting with emoji, answering quick questions, waiting for the next one.

If your company uses both Slack and Teams, or you're in several Slack workspaces, it's worse: three or four places where work happens, each demanding to be watched.

Work chat is great for quick collaboration. But it has a way of turning a workday into one long, interrupted conversation. Here's how to stay responsive without living in it.

Separate what's for you from what's just happening

The single biggest shift: not everything in Slack or Teams is addressed to you.

  • Direct messages and @mentions are your inbox. Someone is asking you something.
  • Channels are more like a newspaper. Useful to skim, not something you must read cover to cover.

Once you see it this way, the job gets smaller: stay on top of your DMs and mentions, and visit channels on your own schedule.

Tame your notifications

  • Set notifications to direct messages and mentions only, in both Slack and Teams.
  • Mute busy channels you only need to skim, and leave ones you never read.
  • Use notification schedules so work chat goes quiet outside work hours.
  • Star or pin the few channels that really matter, so they're the first thing you see.

Set expectations with your team

Always-on culture often comes from unspoken assumptions. Say them out loud:

  • Use your status: "Heads down until 2, DM if urgent."
  • Agree as a team which channel is for urgent issues.
  • Suggest that anything needing more than a few lines becomes a document or a short call.

Check in batches

Instead of keeping Slack and Teams open all day, check them at set times: once an hour if your role needs it, three or four times a day if it doesn't. More in the batching method.

When work chat is spread across tools

If you juggle Slack, Teams, email and maybe a client's WhatsApp, the sweep becomes four sweeps.

YAFOY connects Slack (each workspace you choose) and Microsoft Teams work or school accounts alongside Gmail and Outlook, so your direct messages and conversations appear in one inbox, in the Work tab, where you can read and reply. Insight then flags which work conversations need you first and which can wait. See how the Universal Inbox works →

A calmer workday

You open Slack and Teams at 9, 11, 2 and 4. In between, they're quiet unless someone mentions you. At 11, YAFOY's Insight shows two work questions waiting on you; you answer both in five minutes and go back to real work.
