Inbox Zero for Every App, Not Just Email
Inbox zero was invented for email. Today your inbox is also WhatsApp, Slack, Teams and texts. How to apply the idea everywhere without it taking over your day.

You finally did it. Zero unread emails. A clean, empty inbox, maybe even a little illustration congratulating you.
Then you open WhatsApp: 34 unread. Slack: 12 channels with new activity. Texts: 6. Teams: 3 mentions.
Inbox zero was a brilliant idea when email was the only inbox. Today, your inbox is spread across half a dozen apps, and clearing one doesn't mean much if the others are overflowing.
What inbox zero actually means
The phrase is often taken literally: zero messages. But the idea behind it is simpler and kinder. Inbox zero means nothing in your inbox is waiting for a decision. Every message has been read and dealt with: answered, delegated, scheduled, or let go.
The point isn't an empty screen. It's a quiet head: no nagging sense that something important is buried somewhere.
The four decisions
For each message, decide once:
- Do it: reply or act now if it takes two minutes or less.
- Delegate it: forward or hand it to whoever should handle it.
- Defer it: if it needs real work, schedule it and send a holding reply.
- Drop it: archive, mute or ignore. Not everything needs a response.
Applying it beyond email
Chat apps: you can't "archive" a WhatsApp conversation the way you do email, but you can mark it read once it's handled and pin the ones still waiting on you. Mute group chats you don't need to follow closely.
Slack and Teams: treat mentions and direct messages as your inbox. Channels are a newspaper: skim them when you choose, don't try to clear them.
Texts: quick to answer, so they rarely need deferring. Answer, or turn them into reminders.
Social DMs: decide whether they belong in your daily sweep at all. For many people, a weekly check is enough.
The real obstacle: too many inboxes
Even with good habits, the hardest part of inbox zero today is the number of inboxes. Getting to zero in six apps is six separate jobs, and something always slips.
This is where a universal inbox helps. YAFOY brings your email, Slack, Teams, texts and, on Android, WhatsApp and other chats into one list, so there's one inbox to bring to zero. Insight adds a head start: a short summary of what needs a reply first and what can wait. See how the Universal Inbox works →
A realistic goal
You don't need zero unread messages every hour. Aim for zero undecided messages once or twice a day. Do your sweep, make your four decisions, and close the app knowing nothing is waiting on you that you don't know about.
